Project Introduction
Qualicode helps French hospitals and clinics get reimbursed accurately by the national health insurance system, by managing the medical coding process: the detailed classification work that determines how much a healthcare provider is paid for each procedure.
Before working with ITSharkz, that process ran almost entirely through Excel, with lists of stays to code manually distributed to their medical coders, tracked by hand, with no shared visibility into status or progress. The platform handles only work lists, used to allocate stays to coders and to monitor and supervise their work. Medical records are never shared with it.
Qualicode came to ITSharkz for a dedicated team to replace that manual workflow with a purpose-built platform, one that could absorb inconsistent hospital work-list formats, assign work to coders automatically, and give both sides a shared, real-time view of every case.

A dedicated ITSharkz squad worked directly with Qualicode’s internal technical team, operating with a high degree of autonomy against a broad, high-level brief.
Challenges:
- Replacing a fully manual, Excel-based process with no structured data model to build from
- Every partner hospital exports its work list (the stays to code) in a different Excel format, with inconsistent column naming and structure
- Understanding complex, non-technical domain logic (French medical reimbursement coding) well enough to make sound product decisions without a detailed spec
- Introducing AI into a regulated, accuracy-critical workflow without letting it touch the coding decisions that determine reimbursement
Solutions:
- Built a dedicated web platform to import, assign, track, and close out coding requests end to end, replacing Excel entirely
- Used Claude (Anthropic) to automatically map and unify inconsistent hospital work lists (Excel exports listing the stays to code, containing no medical data) on import, so coders always work from clean, structured work lists. The AI stays restricted to formatting, not coding. Only work lists go through the platform, never medical records.
- Added built-in messaging between coders and coordinators, replacing scattered email and Excel comment threads
- Ran demos roughly every three weeks against a general brief, letting the team make UX and workflow decisions directly and validate them live with Qualicode
- Delivered on the partner’s required stack (Angular, NestJS, SQL Server) rather than the team’s own default choices, prioritizing long-term maintainability for Qualicode’s internal team

Today the platform supports an estimated 10,000 medical codings a month, with every coding decision still made by a person. The engagement is ongoing, and the same dedicated team continues to work directly with Qualicode’s internal technical staff as the platform grows.
